A Practical No-Show Policy for Life Coaches

Write a clear coaching cancellation policy, decide whether a fee fits your practice, and show the terms before a client books.

A cancellation policy protects more than a single appointment. It gives clients a predictable way to handle changes and helps you reserve coaching time with confidence.

The best policy is not necessarily the strictest one. It is the policy you can explain clearly, apply consistently, and support with a booking process that gives clients a reasonable way to reschedule or cancel.

Decide what the policy needs to protect

Start with the practical problem you are trying to solve.

You may need enough notice to offer the time to another client. You may want to prevent repeated last-minute changes. You may simply need clients to use the management link instead of sending a message after the appointment has started.

Write the policy around that operational need rather than copying another business’s wording.

Define the important terms

A client should be able to identify:

  • How much notice is required
  • Which time zone determines the deadline
  • What counts as a late cancellation
  • What counts as a missed session
  • Whether the appointment can be rescheduled
  • Whether a fee applies and how much it is
  • Whether emergencies or exceptional circumstances are handled differently

If local consumer rules, contracts, or professional requirements apply to your business, have the final policy reviewed by an appropriate local professional. This guide is operational guidance, not legal advice.

Choose whether a fee fits the relationship

Some coaches charge the full session price for a missed paid appointment. Others use a smaller no-show fee, allow one exception, or do not charge a fee at all.

Consider the type of service, the length of time reserved, how frequently clients book, and whether the terms are easy to understand before payment details are collected.

For free discovery calls, a fee can introduce more friction than it removes. A clear confirmation, reminder, and cancellation link may be enough. For established paid sessions, a documented fee may fit the working relationship more naturally.

Put the policy in the booking flow

Do not rely on a policy that clients only see after a missed appointment. Place a concise version near the service and booking confirmation.

Use direct language. For example:

You can reschedule or cancel up to 24 hours before the session using the link in your confirmation email. Changes made later may result in a $40 late-cancellation fee.

Adjust the wording to match your actual settings. Avoid saying a fee is automatic if you still review each situation manually.

ClearBook lets you add an optional no-show fee to a service and display the amount during booking. Stripe must be connected and fully onboarded before an eligible fee can be charged.

Make cancellation easy to complete

A policy works better when clients can follow it. Every confirmation should provide a clear management link for rescheduling or cancellation.

Test that link yourself. Confirm what happens to the appointment, calendar event, payment status, and notifications after a change.

Apply the policy consistently

Keep a short record of waived and charged fees so you can recognize patterns and make consistent decisions. If you waive a fee, communicate that clearly. If you charge one, identify the appointment and the policy that applied.

Review the policy after you have used it for a few weeks. If clients repeatedly misunderstand one part, improve the wording or booking-page placement rather than assuming they ignored it.

Keep the client experience respectful

A clear boundary can still sound human. State the requirement without blame, provide the management path, and explain what happens next.

ClearBook’s life-coach booking experience is designed to put service details, availability, and optional no-show terms in the same path a client uses to book. That makes the policy part of the decision—not a surprise after the appointment changes.
